Google account information

When you choose Continue with Google, Google provides a stable account identifier, your email address and basic profile information through the standard OpenID, email and profile permissions. We use this information to sign you in, identify your account, associate it with one registration and send registration updates. We do not request access to your Gmail, Google Drive, contacts, calendar or Google password.

Our use of information received from Google is limited to the purposes described in this policy and follows the Google API Services User Data Policy, including its Limited Use requirements.

Registration information

When you register, we collect your full name, branch, semester, mobile number, food preference, IEEE membership status and, when applicable, your IEEE membership ID. Your Google account email is stored with the registration so that the event team can contact you about its status.

Payment and review records

We record the registration tier, amount due, transaction ID and the payment-proof image you submit. We also retain submission revisions, review decisions, rejection reasons and delivery records for registration emails. File type, size and a checksum may be recorded to verify the integrity of a payment proof.

Technical information

Our hosting, authentication and security providers may process technical information such as IP address, browser type, device information, timestamps and diagnostic logs when you use the service.

• Create, price and manage your SPARC 2026 registration.
• Verify payment claims and investigate duplicate transaction IDs.
• Review registrations and communicate approvals or required corrections.
• Prepare attendance, catering and event-administration records.
• Protect the service, diagnose failures and maintain an audit trail.
• Send SPARC and IEEE MACE news, opportunities and offers when you opt in to promotional emails.
• Share limited contact details with selected education and career-development partners when you separately opt in to that sharing.

Personal information is available only to authorised members of the IEEE MACE Student Branch team who need it to operate the event, and to service providers that support the website. These providers include Google for sign-in and website analytics, Supabase for authentication, database and private file storage, Vercel for website hosting and Resend when registration emails are delivered.

We do not sell or rent personal information. We do not share Google user data with advertisers or data brokers.

If you separately opt in to partner sharing, we may provide only your name, email address and phone number to selected education and career-development partners so they may contact you about relevant student programmes and services. This choice is not required to register, and it is separate from consent to receive promotional emails from us.

Information may also be disclosed if required by law, to protect attendees or the service, or to investigate misuse.

Payment-proof images are kept in private storage and are not published at permanent public URLs. Access to registration and payment records is restricted to the attendee and authorised event reviewers according to their roles. We use access controls, short-lived links for private files and integrity checks designed to prevent unauthorised access or alteration.

No online service can guarantee absolute security. If we become aware of an incident affecting personal information, we will take reasonable steps to contain it and notify affected people where appropriate.

We retain information for as long as reasonably necessary to run SPARC 2026, reconcile payments, answer attendee queries, resolve disputes and maintain appropriate financial and administrative records. Registration, payment, submission and review history may be retained after an authentication account is deleted where it is needed for these purposes. Information that is no longer required will be deleted or anonymised where reasonably practicable.

The site uses essential cookies to complete Google sign-in, maintain your session and protect authenticated pages. These cookies are necessary for the registration service to work.

We also use Google Analytics to count visits and see which pages are read, which sets its own cookies to recognise a returning browser. It reports aggregate figures such as page views, approximate location and device type; we do not use it to identify individual attendees or link visits to a registration. Browser or extension settings that block analytics scripts will stop this collection without affecting registration.

We do not currently use advertising cookies or behavioural advertising trackers.

You may ask to access or correct your personal information, or request deletion where applicable, by emailing ieeemacesbofficial@gmail.com. We may need to verify that the request relates to your account. Some payment or audit records may be retained when required for legitimate record-keeping or dispute-resolution purposes.

You can opt in to, or withdraw from, promotional emails and partner contact-detail sharing independently from your profile. Withdrawing a choice does not affect processing that occurred before the withdrawal. Every promotional email also contains an unsubscribe link. Registration decisions, tickets and essential account messages may still be sent because they are necessary to provide the service you requested.

You can review or remove the Google connection from your Google Account settings. Removing that connection does not automatically erase a submitted event registration; contact us if you also want to make a privacy request.

Attendees under 18 should use the registration service with the knowledge of a parent or guardian.

We may update this policy if the registration service or our data practices change. The current version will remain available on this page with its latest revision date.
